Importing payroll data

Clients using Paychex, ADP and other payroll services can choose to download payroll reports and data from the internet, which saves time otherwise spent keying the data into QuickBooks. (Call our office at 259-9505 for more information.)

These instructions don't apply to Intuit's Complete Payroll service, which operates inside QuickBooks itself.

Important! You must complete steps 1-6 before creating the Accountant's Copy.

  1. Open your company file in QuickBooks.

  2. From the File menu, select Utilities and Import.

  3. We've provided the import file on a floppy disk, Zip disk or CD. Load it into your computer and choose the appropriate drive from the "Look in" box in QuickBooks.

  4. Open the file named payroll.iif.

  5. QuickBooks may report that the import was successful even if it wasn't, so you must verify it manually. In the Banking menu, select Make Journal Entry. Click on Previous until you see an entry for the current payroll period. Report any problems to our office.

  6. Complete this step only if we have instructed you to import Accountant's Changes. Otherwise, go directly to step 7.

    1. In the File menu, select Accountant's Review and Import Accountant's Changes. You will be asked to back up your data. Click OK.

      Note: QuickBooks may want to back up your file to a floppy disk, but for our purposes that isn't necessary. Instead, choose the QuickBooks folder on your hard drive or the Desktop. (After you have successfully imported the changes, you can delete the backup file.)

    2. When the backup is finished, go to the 3½ Floppy (A:) drive.

    3. You should see one file which has a name like changes.aif, possibly with a date to tell you that this is the most recent set of changes.

  7. In the File menu, choose Accountant's Review and Create Accountant's Copy. Select 3½ Floppy (A:) or your Zip drive and click Save. Return the disk(s) to our office.
